Site Administrator

We are now recruiting for a Site Administrator to join us and provide day to day administration support to the TGW Project Team. 

The Site Administrator will manage the site office facilities and assist with team coordination to ensure adequate cover on the project site at all times.

Main Responsibilities

  • The initial point of contact for all visitors to the site
  • Administration of the Health and Safety portal as follows:-
    • Carrying out Inductions and input personal details into the system
    • Capturing qualifications and certificates
    • Checking that all plant has a valid certificate when arriving on-site and monitoring renewal dates
    • Input key information regarding safety briefings and “Toolbox” talks
  • Monitoring levels of safety equipment and reordering when stock levels are low
  • Ensuring that the TGW office suite and welfare facilities are maintained to a high standard including:-
    • Arranging for the cleaning of the facilities and waste removal
    • Maintaining stock of refreshments etc
    • Ensuring stationary, print media, cartridges etc. are maintained
  • Coordination with TGW IT to ensure that the IT infrastructure is correctly functioning
  • Waste management and coordination with the service provider
  • Holiday and shift coordination to ensure that the site is adequately covered 7 days a week
  • Arranging appropriate catering for meetings and Visitors
  • Raise purchase order requests
  • Administer purchase orders on Navision
  • Maintain cost tracker
  • Prepare meeting agendas
  • Responsible for minute taking and circulating the minutes to all the necessary parties
  • Prepare reports
  • Processing, receiving and filing layout documents
  • Time recording for the team.  Accurately recording expenses, calendars,  absence, job sheets, timesheets and time recording of hours
  • Recording business expenses
  • Other tasks required to assist the smooth operation of the project team



About You

  • Experience of providing administrative support to a team
  • Intermediate level of all Microsoft Office packages
  • Strong written and oral communication skills in both Dutch and English
  • Excellent attention to detail
  • Strong organisational skills
  • Ability to contribute to continuous improvement within the department
  • Previous experience of working with an engineering project environment is preferred
