TGW Systems BV is looking for an organised, proactive and independent Office Administrator for 32 hours a week, who will be temporarily (1 year) responsible for the day-to-day running of the Benelux office in Oud Gastel.

WHAT YOU'LL BE HANDLING

You will act as first contact for visitors and handle incoming phone calls, e-mails, and incoming and outgoing mail. You will perform various general administrative tasks such as taking minutes and letters, scanning and archiving, managing the general agenda and meeting rooms, organising meetings, lunches or other activities and planning trips. You will be the point of contact for facility matters. This involves managing keys and badges (access control of visitors and issuing visitor badges) and managing contractual documents. Your duties also include liaising with the cleaning company, waste disposal company and the property manager on office-related issues and repairs. Finally, you monitor and order office supplies, other necessities (coffee, tea, etc.), IT-related equipment and mobile phones including subscriptions.

What you'll need

  • You are a self-motivated team player with bright and confident personality who is highly customer focused.
  • You have a flexible and mature approach with the ability to work without supervision.
  • You have strong communication skills in Dutch and English, both verbal and written and have professional telephone manner.
  • You are a skilled administrator with experience of running an office with excellent attention to detail.
  • You have the ability to work under pressure and to tight deadlines.
  • You are capable of writing reports, procedures and business correspondence.
  • You are proficient in Microsoft Office packages e.g. word, excel,powerpoint.
